    To understand the fundamentals of what a project is, we need to understand the series of phases or steps which every project passes through from the beginning to end. Being able to understand and visualise the life of a project assists both the project manager and stakeholders, to coordinate the resources needed to achieve predicable results.

    Projects are conducted in phases which commence with defining the project and progress through the planning, implementation, monitoring, and completion phases. This is defined as the project lifecycle.

    Within each phase, there may be a series of planned stages which are determined at the project start-up. These stages indicate the review and decision points where the project is to be assessed to determine if it is still viable and can progress to the next stage or phase. The number of stages within each project is determined by its type and complexity.

    5 phases are identified in the project lifecycle:

    1.   Initiation

    The project is defined and the project objectives are determined and agreed on. The project team is created and team members are assigned their responsibilities.

    2.   Planning

    The project plan is developed. In this stage, schedules, budgets, and resources are determined to meet the needs of the project. Other factors that impact the project are also investigated and determined - risks that may impact the project, quality levels to be maintained, procurement requirements, and how the project is to be communicated.

    3.   Executing

    The project is implemented, and the major portion of work takes place in this stage. Day-to-day project activities are managed and monitored, and the risk factors are managed. Communication within the project team and between the project manager and stakeholders is important and needs to be managed well in this phase.

    4.   Monitoring and Controlling

    The product is made and periodic project checks determine whether the project is on time, within budget, and meets quality specifications. Checks are also made to determine if any changes are to be made to the product or project plan.

    5.   Closing

    The project is completed and handed over. 3 key activities take place in this stage:

    The product is delivered to the client.

    Project resources are redeployed.

    The project is reviewed to assess the performance and record any lessons learned.

    The diagram below shows the different project stages, taking into account the level of effort over time. It shows that at some points in the lifecycle of a project, the amount of effort required is very high, while at other points it is not so high.

    This type of diagram is also helpful if you are managing multiple projects and want to know where in the lifecycle your project is situated. If all your projects are at the same stage of execution requiring a large level of effort, it may not be possible with the resources you have, compared to having projects at different stages.
